In this blog, we are going to discuss about the upcoming changes to Gmail’s guidelines that will take effect on February 1, 2024. These changes have implications for Zoho Creator, particularly concerning the send mail tasks.
Gmail Address as From Address:
Policy Change:
Gmail will implement a DMARC quarantine enforcement policy, allowing domain owners to specify handling instructions for messages that fail DMARC authentication.
Impact:
Emails sent from Zoho Creator with a sender domain of “gmail.com” will be quarantined by recipient servers. To avoid delivery issues and potential IP reputation damage, emails with a sender domain of “gmail.com” will no longer be triggered from Zoho Creator after February 1.
Note:
This limitation is specific to “gmail.com” and “googlemail.com” as the sender domain. Custom domains hosted on Google Mailbox, such as zylker.com, will not be affected.
Plausible Scenarios:
Super Admin/Admin Email Addresses: Accounts with Gmail addresses used during Zoho Creator signup may be affected.
Shared Users: Applications shared with users having Gmail addresses, where the send mail task specifies “login user email” as the sender.
Verified Email Addresses: Users with verified email addresses that are Gmail accounts.
Portal User Email Addresses: Portal users signing up with Gmail addresses.
Resolution:
We recommend using email addresses other than Gmail, preferably non-public ones. For example, if the Super Admin/Admin has a Gmail address, update workflows by replacing the adminuserid with another verified email address.
High-Volume Emails to Gmail Addresses:
Policy Change:
Domains sending more than 5,000 emails per day to Gmail addresses must adhere to enhanced authentication requirements.
Plausible Scenario:
For instance, an organization like Zylker, managing a portal with 10,000 users using Gmail addresses, needs to fulfill Gmail’s new guidelines.
Resolution:
DKIM Alignment: Authenticate your domain in Zoho Creator to verify the DKIM record.
DMARC Record: Ensure the published DMARC record for the domain is set to at least “none.”
Note:
Verified DKIM records will become mandatory in Zoho Creator in the upcoming months.
Why Compliance is Essential:
Requirements must be met by February 1, 2024. Failure to comply may result in email rejection or being flagged as spam by Gmail servers.
